PURPOSETo perform a variety of processing, reconciling and accounting responsibilities involving total payroll operations. This position ensures accurate and timely completion of work within the Payroll Department including tax/benefit withholding payments for both union and non-union employees. The Payroll Specialist will be an integral part of the testing for any upgrades to the payroll accounting system and will work with the Payroll Supervisor and Senior Payroll Specialist to implement changes and upgrades.ESSENTIAL DUTIES & RESPONSIBILITIES- Process payroll for multiple legal entities (6), Union and Non-Union, for multiple payroll cycles to ensure timely and accurate payments to employees, tax agencies, garnishment payees, union trusts, as well as accurate g/l account coding. - Process Health & Welfare for collectively bargained agreements, including: o Coordinate contract updates with IR and P/R; ensure accurate system updates to reflect contract changes o Validate monthly H&W payments for accuracy and timeliness o Review manually updated reports that are used to track eligibility, leave of absences, employee benefit payments and other aspects of H&W compliance for each contract. o Coordination of H&W audits, as needed - Researches Union payment discrepancies. - Manage administrative and certain craft vacation and sick time accruals and payments. - Assists with Internal and External Audit documentation. - Interacts professionally and efficiently with all areas of the company and external relations. - Performs various other duties as special projects as assigned by supervisor in a timely and professional manner.- Reviews and evaluates and processes garnishments and levies. QUALIFICATIONS & REQUIREMENTSEducation: - Associate’s degree in Business, Accounting or Finance or equivalent combination of technical training and related experience. CPP desired, not required. Experience & Industry Expertise: - 3-5 years’ experience with Payroll and health & welfare processing, Specific Job Requirements: - Successful completion of pre-employment drug, alcohol, and background investigation - Valid Driver’s License - Current on all company required safety and regulatory training - Experience with all aspects of payroll processing and reporting. - Knowledge of union contract payroll-related issues, including health and welfare. - Knowledge of payroll laws as well as applicable HR laws as they relate to payroll. - Proficient with Excel, Word and payroll processing software. - Proficient with 10-Key by touch. - Communications skills that are appropriate in a wide variety of situations and with a wide variety of personalities and skill-sets. - Independent decision-making skills; intuition to know when to ask for assistance. - Ability to maintain confidentiality. - Lead by example. - Ability to set appropriate priorities and meet deadlines. - Ability to see all tasks at hand for the department, prioritize tasks and communicate expectations to staff, then to follow-up and ensure completion. - Answer day to day payroll questions from personnel within operations and Admin; know when to make judgment calls versus when to seek advice before making a decision. - Determine daily, weekly and monthly priorities; communicate priorities; ensure highest priority items are addressed timely. - Comply with the latest payroll tax rules and regulations. - Accurately reporting wage information to employees and government agencies. - Working with HR on proper head count information by Operations and Administrative Groups. - Ensuring payroll data is kept confidential.
